HubSpot CRM development
Axar7 designs and builds HubSpot setups around how a business actually runs: pipelines, workflows, properties, forms and API integrations. For a solar repair company we made every inbound call a tracked ticket and let only qualified, paid work count as revenue. For a US healthcare company we traced missing partner attribution to its cause and fixed it with one property and one hidden field.

01How it works
HubSpot CRM development, step by step
- 01
Every call becomes a ticket
An inbound call, a web form or an email to the inbox creates a ticket at New Call in the Service Requests pipeline, with the job type, source and priority set. Nothing that comes in is lost: a missed call or a general question stays a ticket until someone has dealt with it, without ever sitting in the revenue forecast.
- 02
Closed, with a reason
Workflows move tickets on as the work happens. A missed call goes to Callback Needed with a follow-up task; a wrong number closes as Invalid Contact. A ticket cannot close without its reason, so the pipeline shows not only what was lost but why.
- 03
Qualified work becomes a deal
Once the team reaches the customer and qualifies the job, a deal is created at Qualified Inquiry in Service Revenue, tied to its ticket, with the issue type recorded. Booking the diagnosis moves the deal to Diagnosis Scheduled automatically, and the two records stay linked from then on.
- 04
Won means paid
Ticket and deal move together: Work Completed alongside Job Complete, Closed alongside Closed Won. Only completed, paid work is marked Closed Won, and a lost deal needs its reason too, so the won column in HubSpot is revenue the business has actually earned.

Where AI fits
In the Sales Ops Engine, GPT-4o reads each lead's signals from HubSpot and Airtable and picks the angle for its outreach, and a person reviews every message before it is sent. HubSpot stays the source of truth; the model drafts.

06Questions
Common questions
Can you fix an existing HubSpot setup instead of starting again?
Yes. For a US healthcare company, signups from a partner network's landing page were arriving in HubSpot untagged. We traced which system created each contact with browser HAR logs and HubSpot's property history, found the signup form was the only writer, and fixed it with one new contact property and one hidden form field, without touching the onboarding workflows already running.
Do you build HubSpot from scratch?
Yes. For Live Oak Energy Systems we designed and built the HubSpot setup end to end: two pipelines, the workflows between them, required close reasons and what every new ticket carries.
Can HubSpot connect to our other systems?
Through the HubSpot API and workflows. Live Oak's setup includes a custom workflow and API integration, and the Sales Ops Engine reads HubSpot alongside Airtable, Gmail, Slack and WhatsApp through n8n.
Will the forecast in HubSpot be accurate?
That is what the pipeline design is for. In Live Oak's setup only qualified work becomes a deal and only paid work is Closed Won, so the forecast counts real jobs.
How long does a HubSpot build take?
It depends on the project. Simpler requirements take a few weeks, up to a month; complex builds take months.
